I’m breaking down 5 Steps to help you manage your business and build a strong team.
But before I get into that, I want to first share with you a recent client/mentorship session I had with one of my clients:

Now, let’s get into these strategic steps for your business and team:
I. DEVELOP AN ORGANIZATION CHART
Have you heard of an organization chart before?
It is basically a chart that symbolizes the organizational structure of your business, used to help you organize your team members, employees, and business partners.
As someone who runs both nonprofit and for-profit businesses, organization charts help me have a clear understanding of how I want my businesses to run.
I am able to see leadership roles clearly, and properly understand key responsibilities of each role in the hierarchy I create and set up for my business.
If you are new to starting a business, or have an existing business, don’t skip this step!
It is key for the success of your business to properly organize and position key roles before recruiting your team.
II. SOP: STANDARD OPERATING PRACTICES/PROCEDURES
If you are in the business or supply chain industry, then you should be quite familiar with this acronym.
If not, no problem! Let me break it down for you.
Standard operating procedures/practices are living documents used by businesses and corporations to properly manage and regulate work tasks. These documents are used to establish consistency, order, and efficiency of work assignments for different roles within a business.
SOPs keep the flow and order of a business, as well as make it easier to find holes and gaps in procedures that could be effecting a company’s bottom line.
It is highly important for you as a business owner/leader to establish standard operating procedures for you and your team to ensure the accuracy of work tasks being performed, and to eliminate problems quickly that may arise in your processes.
When I use to work as a shop manager for a fortune 500 company in the transportation industry, I spent much detail understanding and creating SOPs for the company. I have since then used this practice for my own businesses, which make it much easier to train new staff employees and new team members.
Creating SOPs in the very beginning of your business will make it easier for you to build a strong team early.
III. CREATE TEAM MEMBER PROFILES
So what exactly is a team member profile? You can think of it as a team member avatar.
Who is your ideal team member? How old are they? What are their skills and hobbies? What are their key personality traits? What are their morals and values?
These are key questions you should be asking yourself before adding people to your team.
What I have learned over the years leading and managing teams is this,
“you get what you don’t ask for!”
If you don’t have a standard, you will get whatever is available. And when it comes to running a business, you don’t just want anyone to be on your team.
You want great people, ready and willing to serve the mission and vision of your organization!
So create a team member profile (a simple document) that lists and describes your ideal team member. Use this to help you find the right team members for your team.
IV. FINANCIAL STRUCTURE & STABILITY
We’re talking finances people!
Finances has to be one of my favorite subject areas to guide and direct clients on, because I have always had a skill for managing finances (both in great economic conditions, and in not so great economic conditions).
When it comes to managing your business, this is a crucial area that should not be overlooked!
If you need to hire a CPA or financial advisor early on in your business, please do so.
Be sure to have your legal paperwork for your business filed before operating, to ensure you take care of the proper tax documents at the end of your fiscal year. We don’t want that business to start and end in the same year!
Make sure to have a budget before planning expenses, and keep records of your business receipts, invoices, and checks for security. Also, be sure to setup a business bank account for your business to keep your financial reports streamlined.
I strongly suggest having someone who is skilled in finances managing the financial area of your business, or you can use a financial assisting software like Quick Books!
V. TURNOVER POLICIES & PROCEDURES
Now let’s be honest, when first starting out your business, employee and team member turnover is inevitable.
It’s okay if the people you started with are no longer around a couple of months after your business starts. This is pretty normal.
Have policies and procedures in place to help you navigate team member/employee turnovers. This will help you more easily integrate and train new team members and employees to fill empty positions.
Employee training is very important, so don’t negate this step!
That was a lot of information packed into this blog post, however, I hope it both helped and calmed your spirit when it comes to building strong teams for your business.
I’ve seen both strong and weak organizational structures as a result of having or not having these key steps in place. So do yourself a favor and start implementing these practices into your own business structure today!
